Your Startup Operations is a boutique agency providing operational services to small businesses. We work primarily with small business owners in the United States and our vision is to give power to the people who own small businesses by delivering white glove service while maintaining flexibility, care, and affordability.

Who You Are:
- You have a natural sales instinct, you know how to listen, build rapport quickly, and guide a hesitant caller toward a booked appointment without it ever feeling like a hard sell.
- You take ownership. If something falls through the cracks, you catch it before anyone else has to tell you.
- You are a natural on the phone. You know how to answer questions, build trust, and guide someone toward booking without ever feeling pushy.
- You are comfortable in a fast-paced healthcare environment and know how to handle sensitive information with care and discretion.
- You are detail-oriented. Hint: On your first interview, mention which SCORE value you most align with at the end of the interview for huge bonus points.
Role Requirements:
- 2+ years of virtual assistant experience.
- 2+ years working with clients from the United States, UK, Canada, or Australia.
- Must speak and write fluent English and Spanish (bilingual required).
- Must have a reliable backup internet connection.
- Experience with CRM and scheduling tools — Go High Level and/or EHR systems are a strong plus.
- Background in healthcare admin, or sales is highly preferred.
Responsibilities:
- Answer inbound calls from new and existing patients; provide program information and schedule appointments.
- Pre-qualify and follow up with leads coming in through paid advertising campaigns.
- Register new patients in the EHR and ensure intake forms are completed prior to appointments.
- Monitor and respond to the practice info email in a timely manner.
- Manage CRM back-end including drip campaigns, clarity assessment funnel, and monthly newsletters.
- Send appointment confirmations and follow-up messages.
- Tag members in the Facebook referral group when relevant services are needed.
- Track call KPIs and send end-of-day summary reports.
- Support the clinic manager with additional administrative tasks as needed.
