About the Client
A biotechnology company specializing in personal stem cell banking is looking for a Business Systems Manager to lead a full CRM migration and take ownership of the organization's core business systems.
The company recently changed ownership and is modernizing its technology stack from the ground up, moving away from a fragmented, developer-dependent setup toward systems it can own internally. It's a lean organization in active build-out mode, with room for someone to shape how the business runs operationally.
About the Role
You'll lead the migration of the CRM from Salesforce to HubSpot or Zoho, coordinating with existing developers throughout the transition and building a system that fits sales, front office, and operational workflows. You'll also take ownership of two systems built by external developers — a lab information management system (LIMS) and a patient database — learning them during handoff and becoming their long-term internal owner, while maintaining integration with an existing client portal.
Success means becoming the go-to internal owner for all business systems: a completed CRM migration adopted by the team, stable LIMS and patient database systems with no production issues, and a track record of proactively identifying and implementing integrations that improve how the front office and operations teams work.
Core Responsibilities
CRM Migration & Ownership
- Lead the migration of the CRM from Salesforce to HubSpot or Zoho, coordinating with existing developers throughout the transition
- Build out the new CRM platform to match sales, front office, and operational workflows
- Maintain integration between the CRM and the client-facing portal throughout the migration
- Own CRM administration, configuration, and user support after go-live
Systems Integration & Technical Ownership
- Take over maintenance of the lab information management system (LIMS) following handoff from the development team
- Manage the patient database system, coordinating with developers on updates as needed
- Identify and implement new system integrations based on team needs
- Troubleshoot technical issues across the CRM, portal, LIMS, and database systems
Front Office Systems Support
- Build and configure tools that improve front office operational efficiency
- Provide responsive support to the front office team for system-related requests
- Develop solutions for recurring operational pain points
Vendor & Developer Coordination
- Coordinate with the development team on system handoffs for the LIMS and patient database
- Work alongside existing CRM developers during the migration period
- Manage future systems vendor relationships as they arise
Requirements
Must-Have
- 2+ years of hands-on Salesforce administration, including configuration (not only end-user usage)
- At least one completed CRM migration or re-platforming project (Salesforce to HubSpot, Salesforce to Zoho, or equivalent)
- Working, admin-level experience with HubSpot or Zoho
- Experience integrating systems via API tools or middleware (Zapier, Make, or custom API integrations)
- 4–8 years of total experience in CRM administration, business systems, or sales/marketing operations
- Demonstrated end-to-end ownership of a CRM or business system, not a support/team role
- B2 English (CEFR) for clear internal communication with US-based leadership and cross-functional teams
Nice-to-Have
- Experience with LIMS (Laboratory Information Management System) or scientific/lab data systems
- Exposure to Heroku or similar cloud platforms for portal integrations
- Healthcare, biotech, or life sciences industry experience, including HIPAA awareness
- Experience supporting front office or sales operations teams
- Background at a lean or bootstrapped company (20–500 employees) with broad, hands-on ownership
